Refusal-Proof Schengen Application Checklist (2026)

Schengen visa rejection Nigeria

Updated on

Most Schengen refusals, whether the applicant is from Nigeria, India, Egypt or elsewhere, come down to the same four things: the purpose of the trip is unclear, the money does not add up, the documents cannot be verified, and the officer doubts you will return. This checklist shows how to deal with each one before you submit. It works for tourism, business trips and family visits.

What embassies check

AreaWhat the embassy wants to seeTypical refusal wording
Passport and formValid passport, correct details, dates that match everything elseIncomplete or inconsistent information
FundsStatements that match your income and cover the tripNo proof of sufficient means of subsistence
ItineraryA realistic plan with bookings that match your datesPurpose and conditions of stay not justified
PurposeInvitation, conference registration, tour booking or host letterPurpose of stay not justified
Ties to your home countryJob, business, family and property that bring you backDoubts about intention to leave before the visa expires
InsuranceAt least €30,000 cover for all Schengen states and your exact datesTravel medical insurance not proven or inadequate

The embassy’s own checklist is the final word. Funds in particular vary by country, and some countries publish a daily minimum while others do not, so do not rely on a single figure from a blog.

Step 1: make every date match

Small mismatches cause big problems. Your flight reservation, hotel booking, leave letter and insurance should all cover the same period.

Flight reservationOut 10 June, back 20 JuneBase dates

Step 2: build a clean money story

  • Use 3 to 6 months of statements from an account in your own name.
  • Make sure income and deposits match your payslips or business records.
  • Explain any large, unusual deposit in writing, with evidence of its source.
  • If a sponsor pays, include a sponsorship letter, proof of your relationship, and the sponsor’s own income and bank statements.

Step 3: prove your ties to your home country

  • Employees: a letter on company letterhead confirming your role, salary and approved leave, plus recent payslips.
  • Business owners: business registration (for example CAC in Nigeria), tax records where you have them, business bank statements, and invoices or contracts.
  • Family: marriage certificate, children’s birth certificates and school letters.
  • Assets: land or tenancy documents, mortgage papers, vehicle papers or investment statements.

If your profile is light, do not pad the file with random papers. Build a clear, true account of your life and what you return to.

Step 4: write a one-page cover letter

  1. Purpose: why you are going, who invited you and what you will do.
  2. Itinerary: dates, cities, hotels and transport.
  3. Funds: who pays, your budget and which documents prove it.
  4. Return: your job, business or family, and the exact date you are due back.
  5. History: any earlier refusal or overstay, and what has changed.

A short-stay visa is for a visit. Do not write anything that suggests you plan to relocate or work.

Step 5: use the right embassy checklist

Apply to the country where you will spend the most days, not the one you think is easiest. Each embassy adds its own extras. If you have been refused, our guide to the 11 refusal grounds explains what the form means and how to appeal. The Schengen visa guide covers the basics.

Fees and timing

ItemWhat to know
Visa fee€90 for an adult, not refunded after a refusal, plus any service-centre charge
When to applyUp to 6 months before travel and at least 15 days before
Decision timeUsually within 15 calendar days, up to 45 days if more checks are needed
InsuranceAt least €30,000 cover for the full stay

Hypothetical self-check

This is an illustration, not a real case. Before you submit, read your file as if you had never met the applicant. Does the purpose make sense? Do the statements match the stated salary? Can the officer check the employer by phone or email? If any answer is no, fix that item first. A file with three honest, clearly proved points is stronger than a thick folder of loosely related papers.

Frequently asked questions

Why was my Schengen visa refused if my documents were complete?

Complete is not the same as convincing. Officers check that documents agree with each other and can be verified. Mismatched dates, unexplained deposits or an unverifiable employer letter can all lead to refusal.

What documents prove strong ties to my home country?

An employer letter with approved leave and payslips, business registration and records, family documents, and property or tenancy papers. Use the ones that are true for you.

Can I reapply or appeal after a refusal?

Yes. You can reapply with new evidence, and many countries allow an appeal within the deadline stated on the refusal form. Follow that form exactly.
