Many refusals are decided on the paperwork alone. A missing page, an out-of-date passport or a bank statement that does not match your employment letter can end an application that would otherwise have succeeded. This guide gives a practical checklist, explains the document rules that most often catch Nigerian applicants out and shows how to check your file for consistency before you submit.
Core Documents for Most Visas
| Document | What to check |
|---|---|
| Passport | Valid for the whole stay. For Schengen, it must expire at least 3 months after you leave the Schengen area and have been issued within the last 10 years. Bring old passports that hold visas or stamps |
| Application form | Completed online or on paper as the embassy requires, for example the DS-160 for the US. Answers must match your documents |
| Photograph | Must meet the destination’s specification. Schengen photos follow ICAO standards. Check size, background and recency before you pay a photographer |
| Fee receipt | Keep the payment confirmation. Fees are generally not refunded after refusal |
| Proof of funds | Recent bank statements, payslips, business records or a sponsor’s papers. Many embassies ask for three to six months of statements, so follow your checklist |
| Proof of ties | Employment letter, business registration, school enrolment, family or property documents |
| Travel plans | Itinerary, accommodation and a flight reservation. Do not buy a non-refundable ticket before approval |
| Travel insurance | Required for Schengen. It must cover emergency medical care, hospitalisation and repatriation, with a minimum of β¬30,000 |
Extra Documents by Visa Type
| Visa type | Typical additions |
|---|---|
| Study | Admission or CAS letter, academic transcripts, tuition payment evidence, English language results where required, and for the US the SEVIS fee receipt and the form from the school |
| Work | Job offer, contract, employer or sponsor documents, and qualifications. The UK Skilled Worker route also needs a certificate of sponsorship |
| Family or friend visit | Invitation letter, host’s ID or residence permit, proof of relationship and proof of where you will stay |
| Business visit | Invitation from the host company, your employer’s letter and details of the meetings or event |
Longer-stay visas can also require police certificates and medical evidence, depending on the country and route. Always confirm the list on the embassy or immigration website for your exact visa.

Translations and Copies
- Documents not in the language the embassy accepts need translating. The UK, for example, asks for certified translations of documents not in English or Welsh.
- Use a professional translator who will provide a signed statement and contact details, not a friend. See our guide to certified translation in Nigeria.
- Bring originals when the embassy asks to see them, and keep a full set of copies for yourself.
Check Your File for Consistency
Lay every document out and compare these details across all of them:
- Full name, spelled exactly as in your passport.
- Date of birth and passport number.
- Job title, employer and start date.
- Salary on the letter against deposits on the statement.
- Travel dates against the booking, the insurance and the leave approval.
A Hypothetical Example
This is an illustration, not a real case. An applicant’s form says he is a “Sales Manager”, his employment letter says “Sales Executive”, and his statement shows a salary of β¦350,000 while the letter says β¦500,000. Each difference might have an innocent explanation, but together they make the file look unreliable. Correcting the letter or adding a one-line explanation before submission avoids the doubt.
Never Alter or Invent a Document
Altered statements and false letters are treated as deception. In the UK, using deception in an entry clearance application leads to a 10-year refusal period. Canada can bar an applicant for at least 5 years. If something is missing, get the real document or explain its absence honestly.
Frequently Asked Questions
Do I need originals or copies?
Follow the checklist. Online applications usually take scans, while appointments may ask for originals. Keep both ready.
How recent must bank statements be?
Rules vary. Student routes can be exact, for example the UK’s requirement to hold funds for 28 consecutive days ending within 31 days of the application. For visits, use the most recent statements you can get. See our guide to financial requirements.
