When to Start Your Visa Application: A Timeline for UK, Schengen, Canada and US

Updated on

The right time to start a visa application depends on the destination. Some countries will not accept an application until a set number of months before you travel. Others have long waits for appointments. This guide gives the official application windows and decision times for the UK, Schengen countries, Canada and the US, then turns them into a simple planning calendar.

Application Windows and Decision Times

Destination and visaEarliest you can applyUsual decision time
UK Standard Visitor3 months before you travelAbout 3 weeks once you have applied online, proved your identity and provided documents
UK Student (from outside the UK)6 months before your course startsAbout 3 weeks
Schengen short-stay visa6 months before the tripNormally 15 days, up to 45 days if more checks are needed
Canada visitor visa or study permitApply once your documents are readyVaries by country and visa office. IRCC publishes current times on its website
United StatesAs soon as an appointment is availableThe interview comes first. Some applicants are placed in administrative processing afterwards

The Schengen rules also set a latest date: apply at least 15 days before you travel. In practice, give yourself far more than that.

Why “As Early as Possible” Is Not Always Right

  • The UK and Schengen systems will not accept applications before their windows open, so applying earlier is not possible.
  • Your passport must be valid for long enough. Schengen visas require a passport that expires at least 3 months after you leave the Schengen area, and a passport issued within the last 10 years.
  • Bank statements age. Many embassies want recent statements, so gather them near the end of your preparation, not at the start.
  • US visas issued to Nigerian citizens have been limited to one entry and 3 months of validity. A visa that expires before your travel date is no use, so match the application to your plans.

Do You Need to Apply at All?

Citizens of the UK, the US, Canada, Australia and some other countries can visit the Schengen area without a visa for up to 90 days in any 180-day period, so the Schengen timeline mainly applies to travellers from countries that need a visa. Always check the entry rules for your own passport and each destination before you plan.

A Planning Calendar

Here is a sample calendar for a Schengen holiday. It is an illustration; adjust it for your own trip.

WhenWhat to do
5 to 6 months beforeChoose the country that will be your main destination. Check which embassy handles applications from your state and whether you must book an appointment. Check your passport dates.
4 months beforeBook the appointment. Appointment slots can be scarce in busy cities, so book in good time.
3 months beforeCollect employment letters, business documents, bank statements, insurance and accommodation bookings. Write the cover letter.
2 months beforeAttend the appointment, give fingerprints and pay the fee.
1 to 2 months beforeWait for the decision. Do not buy a non-refundable ticket yet.
Decision receivedConfirm flights and finalise bookings.

A Hypothetical Example

This is an illustration, not a real case. A student plans to start a UK master’s course on 15 September. She can apply from 15 March. She asks her bank for statements in July so that her funds have been held for the full 28 days the UK requires, applies in late July, and receives a decision in about 3 weeks. She books her flight only after the visa is approved.

What Can Slow You Down

  • A request for more documents, such as proof of funds.
  • Documents that need to be verified.
  • A requirement to attend an interview.
  • High demand at certain times of the year, or a technical outage.

The UK government states that it will not reimburse travel costs if a visa takes longer than expected or is refused, so leave room in your plans. For the full list of what causes delays and what to do, see our guide on what to do if your visa is delayed.

Frequently Asked Questions

When is the best time to apply for a Schengen visa?

As soon as your documents are ready and within 6 months of travel. Aim to submit at least 6 to 8 weeks before you leave, because the decision can take up to 45 days.

Can I apply for a UK visitor visa more than 3 months early?

No. The UK allows applications up to 3 months before you travel.

Should I buy my flight before I apply?

Not a non-refundable one. Use a changeable or refundable reservation as the itinerary and buy the ticket after approval.

How long does a Canadian visa take?

It changes month to month. Check the processing times tool on the IRCC website for your visa type on the day you apply, and add time for biometrics.

Does paying for faster processing guarantee a result?

No. It speeds up the decision where the service exists, but it does not change the decision. The UK, for example, offers a paid faster decision service for some applications.
